Venue Cancellation...what now?

Planning your wedding and choosing your wedding venue is a very exciting time, and with so much variety and choice to pick from there really is something for everyone.

There are times when despite the planning and research, situations occur that are beyond the control of couples. When venues change hands, this is usually done with seamlessly, but on the rare occasion this does have a direct impact on couples leaving them with no option but to find a new venue in a short space of time.

Sometimes there is just no way of preparing for these scenarios but taking time to prepare for the 'what 'if' is always advisable.

We have put together some suggestions and tips in our latest blog on our website. Head over to www.cotswoldwedfest.co.uk and take a look.

1. Event Insurance: Purchase wedding insurance that covers venue cancellations. This can help you recover deposits and additional costs if you need to book a new venue at short notice.

2. Identify a backup venue. Discuss potential dates and requirements with this venue in advance to ensure a smoother transition if needed. (Although this is a lot easier said than done and venues can't 'hold' dates, but having a few backups already in mind is advisable).

3. Supplier Flexibility: Work with suppliers who are flexible and ensure that their contracts include clauses for cancellations or rescheduling.

4. Contract Clauses: Carefully review venue (and supplier) contracts for cancellation policies, including refund policies and any penalties. Ensure that these terms are clear and fair.

5. Open Communication: Maintain regular communication with the venue to stay informed about any potential issues that could lead to a cancellation. Most venues offer a wedding coordinator as your point of contact.

6. Emergency Fund: Set aside an emergency fund to cover unexpected expenses that may arise from a last-minute change in venue. (Again, easier said than done).

7. Guest Notification Plan: Prepare a plan for quickly informing guests about any changes. This could include setting up a communication channel like a wedding website, email list, or WhatsApp group

8. Flexible Travel Arrangements: If guests are traveling, encourage them to book flexible travel and accommodation options that allow for changes without significant penalties.

9. Wedding coordinator: Consider hiring a wedding planner/coordinator who can handle logistical issues, including a last-minute venue change, allowing you to focus on enjoying your day. These are professional wedding coordinator/planners and are experienced in dealing with last minute changes and mishaps and providing solutions.

10. Don't let the 'what if' consume you and remember that these situations are rare. But by taking a little time to prepare for the 'what if', you can be as fully prepared as possible to ensure your wedding day goes smoothly and you have a brilliant day.
